The challenge
Our client, a large and long established national charity, helps to support adults with learning disabilities to live the best lives possible. They wanted to go paperless at all of their 23 sites across the UK to help them be a more environmentally friendly and productive charity.
They were looking for a company they could trust to scan the records, then destroy them in line with the requirements of the Data Protection Act. They were also looking to implement an online platform to store the data that they were scanning and destroying to improve their accessibility and compliance.
The solution
Shredall SDS Group came recommended to the client from another company who we’d previously worked with on a document scanning project. Shredall SDS Group’s document scanning services proposed a cost and time-efficient solution which involved completing secure arranged collections from each of the 23 sites.
We use high-volume production scanners, meaning we could process large volumes of paper records quickly and efficiently. We also reassured our client that all our staff undergo security screening, DBS checking and a ten-year career history check before they join our team, meaning all of the data we scanned was securely handled.
It was also clear that our Document Management Software was the best solution for achieving the client’s goal of becoming paperless. After securely scanning the documents, they were uploaded to our secure imaging web-portal and then stored securely on their new web portal.
This would make searching for files a thing of the past, allowing employees to bring up records online in just a few clicks. Following this, we were able to shred all of the documents that were now online.
The result
After one month of secure scanning, uploading and shredding of documents, across all of the UK locations, the clients were officially paperless. Anything that they needed could now be scanned onto their web platform, allowing them to continue to be an efficient and environmentally friendly company.
